The Departmental Asset Register (DAR) is an exciting new addition to the BEIMS software suite.
The DAR module was developed in conjunction with the University of Wollongong (UOW) who sought a centralised system that would allow departments to easily view, manage and stocktake their assets. Previously asset data was stored individually by each department via spreadsheets and was not easily accessible by those who needed it such as Finance.
“We required better management of equipment through an efficient and functional system and set of processes”, explains Mr Fred Reich, Manager, Financial Analysis and Systems at UOW.
In response, Mercury Computer Systems developed a web application that provides access to selected components of the BEIMS asset register relating to that department. This enables non BEIMS users to view and manage their own assets and is an ideal solution for tracking and recording assets within an organisation and for stocktake purposes.
Specifically, the DAR application provides users the ability to:
DAR eliminates double entering and double handing of information as Departments can update information directly rather than entering it into spreadsheets for facilities staff to later enter into BEIMS. Staff can also update the register during the year when new assets are purchased ensuring asset stock information is always up to date.
The module was successfully rolled out at UOW during the first quarter of 2009. Mr Reich explains, “Financial Services at the University no longer need to send out printed copies of a department’s assets. Instead, users can simply perform the stock-take with the functionality built into the DAR. This means stock taking has the potential to be a completely paperless operation.”
The register has been well received by Departmental staff with twice the number signing up than originally anticipated. An Asset Management webpage was created by the Finance Division to help staff understand asset processes.
Further work is underway to integrate leased assets into the DAR as these items represent a considerable volume of assets campus wide. Additionally, business requirements for integrating barcode readers into the asset cycle are underway.
“Implementation of the DAR is a pivotal component of the overhaul of Asset Management for the University and will bring significant improvements to the management of assets. DAR has already brought significant manpower savings which can be used to more effectively manage our assets”, states Mr Reich.
